1. Who we are
Ad Opus Recruitment Ltd (“Ad Opus”, “we”, “us”) is a specialist recruitment agency registered in Ireland, with our registered office in Drogheda, Co. Louth and our Dublin office at 36 Dame Street, Dublin, D02 EF64. We place healthcare and financial services professionals with employers in Bermuda, the Cayman Islands, and other international locations.
For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Acts, Ad Opus Recruitment Ltd is the data controller of the personal data described in this policy. You can contact us about anything in this policy at [email protected].
2. The personal data we collect
Candidates. If you apply for a role, submit your CV, or engage with us about career opportunities, we may collect: your name and contact details; your CV and the information it contains, including employment history, education, professional qualifications and registrations (for example GMC, IMC or regulatory body registration details); right-to-work and immigration information; referee details and references; salary and remuneration expectations; interview notes and assessment records; and copies of identity documents and certificates where these are required for a placement, registration, or work permit application.
Clients. If you are a client or prospective client, we collect business contact information such as your name, job title, employer, email address and phone number, along with records of our dealings with you.
Website visitors. When you use our website we may collect information you submit through contact or subscription forms, and technical data such as IP address and browser type collected through cookies and similar technologies.
3. How we collect your data
We collect personal data directly from you when you submit a CV, complete a form on our website, or correspond with us. We may also collect data from publicly available professional sources such as LinkedIn, professional registers and published directories, from referees you nominate, and from clients in the course of a recruitment process. Where we source your details from a public professional profile, we will identify ourselves and explain why we are contacting you when we first get in touch.
4. Why we use your data and our legal bases
We use candidate data to assess your suitability for roles, to present you to prospective employers with your agreement, to support registration, licensing, immigration and relocation processes connected to a placement, and to keep in contact with you about opportunities that may interest you. We use client data to provide recruitment services, manage our business relationship, and send relevant updates.
Our legal bases under the GDPR are: legitimate interests, in operating a specialist recruitment business and connecting candidates with relevant opportunities; contract, where processing is necessary to take steps at your request before entering into an engagement or placement; legal obligation, where we must retain records or verify information by law; and consent, which we ask for before submitting your details to a specific employer, and which you can withdraw at any time.
5. International transfers
Because we recruit for roles in Bermuda, the Cayman Islands and other locations outside the European Economic Area, placing you in a role will usually involve transferring your personal data to a prospective employer, and sometimes to regulators, licensing bodies or immigration authorities, in those jurisdictions. These countries are not covered by an EU adequacy decision.
We only transfer your data overseas where it is necessary for a recruitment process you are taking part in: we will always confirm with you before submitting your details to a named employer, and any transfer to a regulator or immigration authority happens as a necessary step in a placement you have accepted. 6. Who we share your data with
We share candidate data with prospective employers only with your prior agreement. We may also share data with referees you nominate, with regulatory and licensing bodies and immigration authorities as part of a placement, and with service providers who support our business, such as IT, email and website hosting providers, who act on our instructions. We do not sell your personal data.
7. How long we keep your data
We keep candidate data for the duration of our relationship with you and for up to two years after our last meaningful contact, unless you ask us to delete it sooner or we are required to keep it longer, for example records connected to a completed placement, which we retain for as long as necessary to meet legal, contractual and accounting obligations. Client records are kept for the duration of the business relationship and for the period required by law afterwards.
8. Your rights
Under the GDPR you have the right to access the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict or object to our processing, to data portability, and to withdraw consent at any time where consent is our legal basis. You also have the right to lodge a complaint with the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland (www.dataprotection.ie), although we would welcome the chance to address your concerns first.

10. Security
We apply appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or misuse, including access controls, encrypted connections and reputable hosting providers. CVs and candidate records are accessible only to those who need them for recruitment purposes.
